Office Administrative Assistant facilitates the efficient operation
of the entire organization by performing a variety of clerical and
administrative tasks. Position Responsibilities and Authorities:
Answers and transfers phone calls, screening when necessary.
Welcomes and directs visitors and clients. Directs
suppliers/delivery persons to correct location(s). Monitors office
and break room supplies, places supplies orders as needed.
Coordinates maintenance of office equipment. Restocks/keeps common
areas clean, organized, and attractive. Assists with company events
(including training courses, Board Meetings, companywide events ---
ordering catering, set-up clean-up, etc). Maintains accurate
financial transaction records. Collects and distributes mail.
Provides order processing support (including Sales Order processing
via NetSuite, saving electronic files on shared drive, manipulating
PDF documents, sending daily external customer notifications,
maintaining, and filing paper sales order packets). Monitors
marketing collateral levels, stores large and small materials in
organized fashion, maintains inventory records of
materials/collateral, provides support for collection and shipment
of marketing materials/demo products and supplies for company
conferences, seminars and meetings both domestic and international.
Supports Office Administrator/Customer Service Manager as well as
all internal and external customers. Responds to and resolves
administrative inquiries and questions. Qualification Requirements:
Education: Associate---s degree desired; Bachelor---s degree
preferred. Three to five years of experience in an administrative
role. Experience & Skills: Excellent verbal and written
communication skills. Excellent interpersonal and customer service
skills. Proficient in Microsoft Office Suite and Adobe software.
Excellent organizational skills and attention to detail. Basic
understanding of clerical procedures and systems such as
recordkeeping and filing. Ability to work independently. Physical
Requirements: Prolonged periods sitting at a desk and working on a
computer. Must be able to lift up to 15 pounds at times.
